How to Grow a Service Business Without Adding More Admin

By Bruno Leclerc, Customer Success Lead at Plannit

Bruno helps Canadian trades and home service companies set up Plannit and get their teams using it. He has onboarded over 413 contractors since 2023.

Short answer

Admin grows with every job. Each new job adds a quote, a booking, a reminder, a timesheet, an invoice and a payment to chase. To grow without hiring more office staff, enter each job's details once, let your crew update jobs from their phones, and automate the repetitive steps like reminders, invoices and follow-ups.

Why does admin grow faster than revenue?

Every job goes through the same steps, and each step is admin:

  1. Answer the inquiry
  2. Build and send the quote
  3. Follow up until it's approved
  4. Schedule the crew
  5. Remind the customer
  6. Collect timesheets, photos and notes
  7. Build the invoice
  8. Chase the payment

Doubling your jobs doubles all eight steps. If the same information is typed again at each step (the customer's name, the address, the line items), you're doing the work several times over for every job.

Plannit data Owners who automate reminders and invoicing in Plannit save about 6 hours a week.

How much time is admin already costing you?

More than most owners track. The Canadian Federation of Independent Business (CFIB) estimates that Canadian businesses spend 256 hours a year on red tape alone, which works out to about 32 business days (CFIB, January 2025). The burden per employee is heaviest for the smallest firms. That figure covers government paperwork only, before a single quote, schedule or invoice.

Step 1: Count the admin steps in one job

Pick a recent job and write down every time someone typed, called, texted or re-entered something. Most owners find the same information typed three or four times: in the quote, the calendar, the invoice and the accounting software. Each of those repeats is something you can cut.

Step 2: Enter it once, use it everywhere

The biggest time saver is a single record per job. The customer's details go in once, then carry through automatically:

StageManual wayConnected way
QuoteTyped into Word or ExcelBuilt from saved line items
ApprovalPrinted, signed, scannedApproved online
SchedulingRe-entered in a calendarThe approved quote becomes a job
InvoiceRebuilt from the quoteCreated from the finished job
TaxesCalculated by handGST/HST (and QST in Quebec) applied automatically

Step 3: Let the crew update jobs from the field

Office admin often exists only to collect information from the field. If your techs clock in on a digital time clock, tick off checklists, add photos and mark jobs complete from their phones, nobody has to call around at 5 p.m. to find out what got done.

Step 4: Automate the follow-ups

Appointment reminders, quote follow-ups and overdue-invoice notices are the same message every time. Set them up once and they go out on schedule, in the customer's language, without anyone remembering to send them.

Step 5: Plan for seasonal crews

Canadian trades don't grow in a straight line. Landscapers staff up in April, and snow removal companies staff up at the first storm. Temporary crew mean more schedules, timesheets and onboarding at exactly the moment you have the least time. Set up your job templates, checklists and scheduling before the season starts, not during it.

Should you hire an office admin or automate?

Automate first, then hire. Software is best at repetitive tasks that follow rules, like reminders, invoices and data entry. People are best at work that needs judgment: handling unhappy customers, solving scheduling conflicts and chasing large accounts. If you hire before automating, you pay someone to do the work software could handle.

Client story: Paysagement Lavoie, Landscaping

  • Before: The owner’s spouse spent evenings rebuilding invoices from paper work orders.
  • Growth pressure: They went from 3 to 6 trucks in two seasons.
  • What changed: Quotes became jobs automatically, crews clocked in and closed jobs from their phones, and invoices went out the day the work was done.
  • Result: They added 15 jobs a week with the same office staff.

How Plannit handles this

In Plannit, a job's details are entered once. The quote becomes a scheduled job, the job becomes an invoice, and taxes, reminders and follow-ups are handled automatically in English or French. Crews update everything from their phones, so the office doesn't have to chase them for information.

FAQ

What admin tasks can a service business automate?

Appointment reminders, quote follow-ups, invoicing, payment reminders, timesheets and tax calculations. Anything that follows the same rule every time is a good candidate.

How do I know if admin is slowing my growth?

Warning signs include invoices going out days after the job is done, quotes sitting unsent, and evenings spent on paperwork. Another sign is feeling that you can't take on more work without hiring office help.

When should I hire office staff?

Once you've automated the repetitive tasks and the remaining work needs a person's judgment, like customer issues, complex scheduling or collections.

Does field service software replace an office manager?

No. It takes over data entry and reminders so your office manager can spend time on customers and cash flow instead of typing.
